Sharing the checklist with your family

What the shared checklist is #

When you generate your plan, the planner also builds a checklist of everything that still has to happen, and gives you a link to it.

The point of the link is that the work does not all sit with one person. A sister three provinces away can open it on her phone and see what is already done. Someone can take on the venue while someone else handles the flowers, and nobody has to ask.

Who can open it #

Anyone you send the link to. There is no account to make and no sign-in. That is deliberate — the people who most need this are often the least likely to set up a login in the middle of a hard week.

Which also means: the link is the key. Send it to the people you want in it, and keep in mind that anyone who is passed it can open it too.

What people see #

The page is headed Shared family checklist, with For and the person's name underneath, and a count of how many items are done. It refreshes itself every 30 seconds, so two people working at once see each other's ticks.

Items are grouped by how pressing they are — Important, To do, and If there's time — and within that by area: Right now, Family, Venue, Logistics, Media & livestream, Finances, Service, Tradition and After-death admin.

Anyone ticking something can put their name in first, and the item then shows Marked done by and that name, so you can tell who did what without asking.

Finding and copying the link #

On your documents page, the card is headed Shared family checklist. The link is in a box you can select, with Copy link beside it, and the expiry date is shown in the sentence above.

The 14 days, and refreshing the link #

The link works for 14 days. After that, someone opening it sees This link has expired. and Ask the family member who shared it for an updated link.

Refresh the share link on the same card gives you a new one and starts a fresh 14 days. Refreshing stops the old link working immediately — which is exactly what you want if a link went somewhere you did not intend. Everything ticked off so far stays ticked; only the address changes.

If somebody tells you their link has stopped working, refresh it and send them the new one. It takes a few seconds and there is no limit on how often you can do it.

If a link does not open #

Someone with a wrong or an out-of-date link sees This link doesn't work. and the same note about asking for an updated one. The page deliberately gives away nothing else, so a mistyped address tells a stranger nothing about you or the person who died.

The fix is always the same: refresh the link on your documents page and send the new one.
