Adding photos and speakers

Quick answer
You can add up to five photographs, each up to 8MB, for use on the printed keepsakes. Uploaded photos are kept for 90 days after you finish the plan and then deleted, with a reminder sent before that; the finished documents stay in your account. On a separate page you can list who is speaking, what they are doing and in what order, and each speaker gets their own briefing PDF.

Adding a photograph

The page is headed Add a photo. It is optional — you can skip it and carry on, and the plan works without it.

  • JPG, PNG, WebP or HEIC.
  • Up to 5 photos, and up to 8MB each.

The button reads Choose a photo while there is room, and That's five photos once you have reached the limit. Each photo you add can be taken off again with Remove beside it. When you are finished, Done — back to the planner takes you back.

Photos you add here are the ones used on the printed keepsakes — the memorial card and the program.

How long photos are kept

This is a promise the planner keeps, and it is printed on the upload page itself:

We keep uploaded photos for 90 days after you finish the plan, then delete them. The finished documents stay in your account for as long as you have one.

Two things worth separating out:

  • The 90 days are counted from when the plan is finished, not from when you uploaded.
  • A reminder goes out 14 days before the photos are deleted, so the date does not arrive without warning. If you want to keep the original files, that is the moment to save them somewhere of your own.

Deleting the source photographs does not take away anything you have already downloaded, and it does not remove the documents from your account.

Who is speaking

The speakers page is headed Who's speaking? and explains itself: add eulogies, readings, prayers and tributes; the order you set here is the order in the program; and you can come back to it any time.

+ Add a speaker opens a short form. Each person gets a role, from Eulogy, Scripture / reading, Prayer, Personal tribute, Musical performance and Other, plus a topic, a time limit if you want one, and contact details.

If you told the planner about a religion or tradition, the form suggests the usual roles for it — a Catholic service offers a First Reading, a Second Reading, a Gospel and a Prayer of the Faithful, for example. Suggestions are only that. You can ignore them, change them, or type something else entirely.

Each speaker card has Edit and Remove, and arrows to move a person up or down. The list saves itself as you work; you will see Saved. underneath.

Speaker briefings

Once you have generated the plan, each speaker gets their own one-page PDF: their slot, their topic, who they follow, and the officiant's contact for the day. You will find them on the documents page under Speaker briefings, with a Download button beside each name. Sending one to each person saves a round of phone calls.
